Refund & Cancellation Policy

We understand that plans can change. Our refund policy is designed to be fair to participants while recognising that places on scheduled courses are limited and may be difficult to resell at short notice.

This Refund & Cancellation Policy applies to bookings made directly with Venture Beyond.

1. Cancelling Your Booking

If you need to cancel a booking, please contact us as soon as possible at:

The date on which we receive your cancellation request will be used to determine the applicable refund.

2. Cancellation More Than 28 Days Before the Course

If you cancel more than 28 days before the scheduled course start date, you will normally receive a full refund of the course fee paid.

Alternatively, you may request a transfer to another available course date.

3. Cancellation Between 14 and 28 Days Before the Course

If you cancel between 14 and 28 days before the scheduled course start date, you will normally receive a 75% refund of the course fee.

Alternatively, where space is available, you may request a transfer to another course date.

4. Cancellation Between 7 and 14 Days Before the Course

If you cancel between 7 and 14 days before the scheduled course start date, you will normally receive a 50% refund of the course fee.

At our discretion, we may instead offer a transfer to another available course date.

5. Cancellation Less Than 7 Days Before the Course

If you cancel less than 7 days before the scheduled course start date, the course fee will normally be non-refundable.

However, we will consider requests on a case-by-case basis and may offer:

  • a transfer to another course date;
  • a place on a future course;
  • a partial refund; or
  • another reasonable solution,

depending on the circumstances and whether we are able to fill the cancelled place.

6. Failure to Attend

If you do not attend your booked course without notifying us in advance, the booking will normally be treated as a cancellation within 7 days of the course.

The course fee will therefore normally be non-refundable.

If you are unable to attend because of an unexpected serious circumstance, please contact us as soon as possible. We will consider the circumstances and may, at our discretion, offer a transfer or other reasonable solution.

7. Illness or Injury

If you are unable to attend because of illness or injury, please contact us as soon as possible.

Where appropriate evidence is provided, Venture Beyond may offer a transfer to another course date or a partial/full refund depending on the circumstances and how much notice is provided.

We recommend that participants obtain appropriate travel or cancellation insurance where the cost of a course or associated travel is significant.

8. Substituting Another Participant

If you cannot attend, you may ask us to transfer your booking to another suitable participant.

The replacement participant must satisfy all relevant course prerequisites and requirements.

Please contact us as soon as possible if you wish to arrange a substitution.

We reserve the right to charge a reasonable administration fee where a substitution results in additional administrative or third-party costs.

9. Course Cancellation by Venture Beyond

If Venture Beyond cancels a course, participants will normally be offered either:

  • a transfer to an alternative course date; or
  • a full refund of the course fee paid.

We will communicate any cancellation as soon as reasonably practicable.

Unless required by law, we are not responsible for additional costs incurred by participants as a result of a course cancellation, including travel, accommodation or other expenses.

10. Course Postponement

If a course is postponed rather than cancelled, we will provide the revised date as soon as reasonably practicable.

Participants will normally be offered the option to transfer their booking to the new date.

Where the revised date is unsuitable, we will consider an appropriate alternative, which may include transferring the booking to another available course or providing a refund.

11. Exceptional Circumstances

We recognise that circumstances can arise that are outside a participant’s reasonable control.

Examples may include:

  • serious illness;
  • serious injury;
  • bereavement;
  • significant travel disruption;
  • severe weather;
  • emergency situations; or
  • other exceptional circumstances.

Where such circumstances arise, please contact us as soon as possible.

We will consider each case individually and may, at our discretion, offer a transfer, credit, partial refund or full refund.

12. Refund Processing

Approved refunds will normally be made using the original payment method.

We aim to process refunds as soon as reasonably practicable after approval. Depending on the payment provider, it may take additional time for the funds to appear in the customer’s account.

13. Statutory Rights

Nothing in this Refund & Cancellation Policy affects any statutory rights that cannot legally be excluded or restricted.

Where applicable, statutory cancellation rights will take precedence over this policy.

For scheduled leisure services taking place on a specific date or during a specific period, the usual 14-day online cancellation period may not apply under the Consumer Contracts Regulations 2013.

14. Fairness

Our cancellation charges are intended to reflect the costs and potential losses associated with cancelling a reserved place on a scheduled course.

We will not seek to impose a cancellation charge that is unfair or disproportionate.

Where appropriate, we may take account of whether a cancelled place can be resold.
